classes start or after? NO - WE BLOCK ANY FUTURE REGISTRATIONS (OR CANCEL
THEM IF THEY ARE ALREADY IN) BUT WE DO NOT DROP STUDENTS FOR NONPAYMENT FOR
THEIR CURRENT REGISTRATIONS
If you don't do a financial withdrawal, how do you handle delinquent
accounts? WE CONTACT STUDENTS FOR PAYMENT - WE ASSESS HEFTY LATE FEES - $200
WHEN 2 WEEKS PAST DUE AND ANOTHER $300 WHEN 10 WEEKS PAST DUE. IF WE
CONTINUE WITH NO PAYMENT INSPITE OF LETTERS, EMAILS, PHONE CALLS - WE SEND
THEM TO COLLECTIONS
Is your policy for next semester registration a $0.00 balance with a 0
tolerance policy for a previous semester balance? OUR LIMIT IS $25 BEFORE
THE HOLD RESTRICTION IS KICKED IN.

Subject: bursar-l: Financial Withdrawals
Good Morning,
The Bursar is being asked to reevaluate our financial withdrawal policy and
to find the right solution for Suffolk University. This list serve is one
of the best resources I could think of.
My questions are:
Do other schools go through a financial withdrawal? If so when, before
classes start or after?
If you don't do a financial withdrawal, how do you handle delinquent
accounts?
Is your policy for next semester registration a $0.00 balance with a 0
tolerance policy for a previous semester balance?
Some background on Suffolk; we are a private school with a combined graduate
and undergraduate population of about 9100 students, predominately
undergraduate commuters. We entered the resident student market just about
10 years ago and currently house about 880 undergraduates. We have
experienced significant growth in the last 10 years and expect continued
growth in enrollment.
We are a Datatel school running on release 17 soon to make the upgrade to
18.
Procedurally we bill for the fall semester July 1 with a due date of August
1 with a second bill sent to students who have not been cleared on August
3rd. For the Spring it is November 15 bill for December 15 due date
.
To be financial clear a student needs to;
A. Have a financial aid award that covers all their charges
B. Make full payment of charges
C. Make a half payment of charges and this auto enrolls them in our
deferred payment plan, second half is due Nov 1 for fall March 15 for
spring.
D. A valid contract with the payment plan company for their charges.
E. A combination of any of the above
For approximately two weeks after the due date outreach in the forms of
email, phone calls and snail mail is sent to uncleared students by:
Bursar's Office, Office of Enrollment Retention, Residence Life,
Undergraduate Admissions
and Center for International Students.
At the end of this two week period students still not cleared are removed
from their classes and if they are a resident student their dorm room is
reassigned. During this two week period we end up playing "Let's Make a
Deal" with most of the students. Since this is a financial withdrawal, we
field the phone calls and the wrath etc.. Usually, there is about a two
week period between the withdrawal and the beginning of the semester. The
majority of the students who are withdrawn either make a payment or complete
their financial aid information so the hold can be released and they can
register for classes (their original registration is gone).
As the office that coordinates the outreach to students and then gets the
backlash after the withdrawals, I can say that I feel we make every effort
to contact the students but we aren't getting through to them.
