Maria,
We are also a Datatel school. We have students pay the housing deposit when
they are first becoming a resident student. We hold this deposit whatever
length of time they are going to remain a resident - so we carry this
forward from year to year. Once a student has graduated or indicated that
they will no longer live on campus, we apply the deposit to whatever charges
are on the account and refund the rest. Students who incur damage charges
in the interim must pay those charges out-of-pocket.

Subject: bursar-l: damage deposits for housing
Hi All,
We are a Datatel Colleague school. We collect a $250 housing damage deposit
each year from our housing students. At the end of the year Res Life places
damage charges and students are either billed or refunded the balance. I am
interested in finding out how other schools handle this process. Does
anyone apply the refund to the future term account for returning students as
a payment? We are looking for a better way to handle this, one that will
reduce the number of refund checks we cut to students. Any and all ideas
are welcome!
