Dear Colleagues,
 
What are we all doing with respect to a Conflict of Interest Statement
or Policy for staff working in Student Accounts and/or Controller
Operations?
 
Specifically, how do you inform staff of confidentiality expectations.
For example, I have a long-standing practice in my shop to tell new
staff that they cannot process any transactions on their account, that
of family or close friends. These transactions include posting payments
or adjustments to the student account, placing or removing holds or
processing any registration activity. Further, I inform them that during
the normal course of business they might come across information on
former friends, ex-spouses, former colleagues...you name it...and that
they must not disclose - even accidentally - that information beyond
official college business purposes.
(Just happen to see that the ex-husband is getting a huge refund from a
Parent Loan taken out for his new step-child. Meanwhile, he owes back
child support on your kids...can't go to your attorney blah blah...).
 
As I mentioned, this has been and is a "practice" which we are looking
to formalize and document. Kindly share what you have. Thank you.
