Paula,
We have a "Permission to Release to Third Party" form that students can fill
out. We have them list who we have permission to talk to. We tell parents
about this at the freshman orientations and tell them that we cannot tell
them any details about the account without this form signed. We keep them
on file for one year. If a parent calls to pay a balance and wants to know
how much we are going to be putting on their charge card, we tell them the
total; however, we do not give them any information as to what that charge
is made up of. If they want to know and we don't have the permission form,
we tell them that their child will need to grant us permission and then we
will spell it all out for them. The students usually show up to sign the
form.
We are a Datatel school and record this information in the ARAC screen. We
also have a code we enter that tells us we have a granted permission to talk
from this student.
We try to be very careful with this.

Subject: FERPA Question
We are told by our Registrar that tuition records are covered under FERPA.
Therefore, we are not suppose to reveal tuition balance to parents. We all
know that parents pay the bills and expect the information and often times
the student does not communicate with the parent.
We are told the best way to comply is to obtain the student's written
permission to share student account info with parents. How do other schools
deal with this? Thank you.
