RE: Refunds

Maria,

We do the same as you. We wait until the funds come in. In the event that
the student calls and requests an earlier refund, we normally will honor
that request - unless the student has had a history with us of dropping
classes late in the semester or other such issue. Also, if the student paid
by credit card up front and then is get financial aid, we will issue back to
the credit card - but again, it is after the aid is received and/or applied
to the account or if the student makes a request.

If the student pays and then drops, we first make sure the check payment is
at least 2 weeks old - so we don't have a bounced check come back. Then we
issue at the end of the add/drop period which is the end of the first week.
If they contact us earlier and make a request, we will normally honor that
request as long as the payment has been on the account long enough to
guarantee we won't have a returned check.

Hi all:

Question regarding your practice for issuing refunds to students who
have made cash payment and are subsequently awarded financial aid.

Do you issue an immediate refund when aid is pending (not yet
received/disbursed), or do you wait until aid is disbursed and then
issue with financial aid refunds? We do the latter.

Also, for students who pay and then drop classes, do you refund
immediately or wait until after drop/add or some other deadline to
refund. We have been waiting until after drop add (1st week of class)
to process refunds unless the student requests the refund.
