We have lots of folks all over with the same problem. What we do is mail
them a new promissory note with the disbursement entered in the
advancements field and instruct the student to sign the note and return it
to us so we can process their aid. When the note is returned, we then post
the payment or mail the check. Next semester we repeat the same process,
so some of our borrowers will graduate with up to eight, single entry
promissory notes.
We also make the student sign a "hold harmless" agreement when mailing
financial aid. This form gives the student the opportunity to write any
special instructions for us. While some of the borrowers will still have
some concern in signing a promissory, I help to alleviate this by providing
them with a single contact person that handles all the transactions, hand
written notes, direct phone numbers and e-mail addresses. So far, we have
never had a problem.
