Hi Julie,

Our process is similar to Loretta's at Monroe Community College. For those
students that completely relied on memo'd aid to cover their entire balance
but did not complete the process to have their loan actually pay to their
account are not cancelled from their classes; instead, an "RC" registration
hold is placed on their account right before registration opens for upcoming
terms. Then when the student calls asking why they have a hold we refer
them to the financial aid office. Since our classes fill quickly, this
registration hold is a great incentive to get the process completed. The RC
registration hold has to be removed manually. If after the 4th and final
payment due date the student still has not resolved the issue, a system
program converts the RC hold to an AR hold (owes for prior term debt), which
is automatically removed once the semester charges are paid in full. I hope

Hello Julie.

 

We are a Banner school and we do memo-post aid - which effectively reduces
amount due out of pocket (if there is any).

The memos do not expire until after aid is paid.which is after we do a drop
for non-attendance.which is about the 6th week of the semester.

 

We also have the nasty problem of aid not materializing as expected. This
phenomenon has been the subject of countless meetings over the years!
Unfortunately, we do not follow-up with another drop for those accounts that
are unpaid.

Our Business Services office would like to find out how other schools handle

the memo posting or confirmation of pending estimated financial aid during
the

start of the semester as students are paying and finalizing for classes.

We have a process that puts confirmations of pending estimated financial aid

and displays it as a credit thus reducing the amount the student needs to
pay

in order to finalize their registration. Our final payment deadline is the
15th

class day. All students not finalized are cancelled. The students that
finalized

their registration bill with the use of memo/confirmed aid are not
cancelled.

There are times when the actual financial aid never comes due to lack of

follow up on the student's part or due to new financial issues that result
in a

lesser amount awarded. This obviously creates collection problems for us in

our Student Account Services area.

We are interested in knowing if other schools that are memo posting or

confirming estimated financial aid on student accounts expire those at some

point and if so when those expirations occur. And once those expire do you

then follow up with a cancellation of classes for any students that are not

paid?
