Wittenberg University is a Datatel School and we have done our 1098-T’s in-house since the tax reporting requirement first came about. We used to use Datatel’s software to print the forms (3 to a sheet) but encountered many issues with that process. We now collect and process the 1098-T data using Datatel’s program and then we export the data (via comma-delimited file) to a software program called ACCOUNTABILITY. The software costs a little over a hundred bucks each year and we do our W-2’s, 1099’s and 1098-T’s on it. The nice part about the software is that it allows us to print 1098-t’s on a single sheet of plain copy paper. The 1st third of the sheet is the tax form, the 2nd third is the federal instructions, and the last 3rd of the page is a free form area where we put in additional resource information for the families. We then tri-fold the paper and stuff it into a standard 1098-T tax envelope (#9 – single window to display students name and address – security lined).
The software also walks us through the steps to submit the 1098-T file electronically to the fed through the IRS FIRE system.
We sent out about 2700 forms this year. We do not send out a compilation of charges for the year with each 1098-T. We receive very few requests for that information. We have looked at outsourcing this before but no third party can beat the limited expense that we have invested in our process(6 reams of copy paper, 6 boxes of envelopes, first class postage, some stuffing time from our mailroom, and a sense of accomplishment when you see those things go out in the mail).
Anyway, that is what works for us…

Hello,
I was wondering if there were school's whom could offer any information in processing 1098T's in house and the cost effectiveness of it etc? We use Datatel and would like to process them in house for next year. In preparation of the 2010 budget, I'm looking for information pertaining to costs and how the process has been thus far.
