How old is the debt before your school begins collections? We begin pre-collections at 45 days after the semester begins. These are accounts are generally the accounts with residual balances after financial aid or scholarships post, someone who paid for one class then enrolled in more without paying etc. We have 5 campuses so do the collection feeds in phases each week throughout the rest of the semester.
Do you do in-house collections? If so, what length of time do you collect in-house before you send to an agency? Yes we do in house collections. We generally work the account for 1 year before referring it to the outside agency. We are looking at possibly shortening that time frame.
For those that do in-house collections, what is your enrollment, and how many collectors do you have? We have enrollment of about 20,000 -25,000. Currently we have 4 collectors, however because we have moved to Touchnet to help handle our payment plans we are hoping to reduce that by 1/2 in the next 6 months.
Do you utilize an agency to send out pre-collect letters? If so, has this been successful? We do our own collection letters & payment plans. However, once out to the agency there is a precollect dunning letter that gives them 30 days to pay with no penalty.
Are you using a third party system for collections? If so, what software system is it and do you feel it works well for your school? Yes but it was designed to do payment plans and the company changed some things to make it work for us. Would really prefer to find a new software or be able to use the peoplesoft collections piece.
At what point do you write your bad debt off your active system? 1 year
How long do you leave an account with a collection agency? Generally 1 - 2 years.
Do you place accounts directly with an attorney(s)? No

We use NetPay from Sallie Mae for one time payment services. We have
one site for tuition account payments and additional sites for
application fee payments which never hit the tuition accounts. We have
used them for over 6 years and are very happy with their service, cost,
and responsiveness to our needs.

We recently began accepting e-cks on our Website and will soon be
converting in person checks and checks we receive in the mail to an
E-ck. If anyone has gone through this recently, do you happen to have
a check list of things you needed to do to be compliant prior to
converting checks? I know we have to post signs and include a message
on our statements as well as give students the option to opt out, but I
want to make sure we have everything covered. Any words of wisdom would
also be greatly appreciated.
